How can I adapt Approved Notes to different contexts?
There are two primary ways to tailor Approved Notes to specific regional and product contexts:
-
Country-Specific Monitoring Rules - Apply the Monitoring Rule only to users in specific countries, for differing regulatory contexts
-
Product-Specific Monitoring Rules - Apply the Monitoring Rule only to specific products, detail groups, and detail topics, so rules are only applied to the relevant products
Specifying the Country or Product on Monitoring Rules empowers organizations to ensure that compliance measures are relevant to the diverse regulatory and operational landscapes their users navigate.
By implementing these customizations, organizations enhance the accuracy of their compliance processes, reduce false-positive violations, and streamline the review workflows for compliance users to ultimately foster a more effective monitoring system.

For even more granularity, use Country-Specific Monitoring Rules and Product-Specific Monitoring Rules together. For example, you can apply Monitoring Rules only to a certain product in one country. |
Create country-specific Monitoring Rules
When a Monitoring Rule’s User Country field is populated, the rule operates exclusively against records modified by users in the designated country.
This targeted approach helps ensure that only relevant Monitored Phrases are applied, as some phrases may pertain to one country but not another. Using country-specific Monitoring Rules can drastically decrease the volume of irrelevant violations flagged for review, allowing compliance users to focus on genuine concerns.
To create country-specific Monitoring Rules, populate the User Country field when creating or modifying a Monitoring Rule.
Create product-specific Monitoring Rules
When a Monitoring Rule’s Detail Group and/or Product fields are populated, the rule can exert greater control over the review process according to the associated product. This is important for companies in regulated environments, who are accountable for ensuring product information is accurate and not misleading.
These rules can help monitor for:
-
Company or competitor’s product names in non-approved contexts
-
Key unapproved indications or keywords from unpublished dataGeneral terms like unapproved, homemade, off-label when associated with product discussions
For example, you can use product-specific rules to specify that the phrase “RA” should not be mentioned in relation to Cholecap, and “A1C” should be avoided when discussing Restolar. If a user assigned to Cholecap records a call mentioning both phrases, only the rule associated with Cholecap is triggered.
To create product-specific Monitoring Rules, populate one or both of the following fields when creating or modifying a Monitoring Rule:
-
Product - The relevant product or detail topic
-
Detail Group - The relevant detail group
