How do I build an Auto-Publishing Strategy

While the tools for CLM and Approved Email are different, a unified strategy is your key to success.

As an admin, your job is to create the rules and structure that let your team use both pathways effectively and compliantly. Think of publishing as its own functional area.

Let’s look at a common scenario, your marketing team is launching a new campaign for the product, Natevba. They have three new assets ready for MLR review:

  • A 15-slide PowerPoint detailing efficacy data, intended to be a single presentation

  • An interactive HTML5 animation showing Natevba’s mechanism of action, delivered via a zip file from a third-party agency

  • A 2-page PDF summarizing clinical trial results

Let’s break down the best options for publishing these assets.

Auto-Publishing

This is your go-to option for standard content types, for example, PowerPoint, PDF, or video files. It creates a direct link between the source document in PromoMats/MedComms and the content available in Vault CRM, making it the most efficient option when you want a single source of truth to manage content lifecycles.

Use Auto-Publishing for the PowerPoint and PDF files from our scenario. When a new version of the efficacy data is approved in PromoMats, the content in Vault CRM automatically updates after the next sync to ensure field users have the latest figures.

Create Presentation

This option is ideal when you need to break a source document into modular components (a binder and individual slide documents) within Vault CRM for more granular control and reuse.

Splitting a document into separate slides creates a unique Key Message record for each slide to allow for slide-by-slide tracking.

Manual Upload & Multichannel Loader

The traditional option for handling complex, third-party-created content or performing bulk actions. This path is best used for interactive HTML content or when you need to upload a large number of CLM presentations and slides at once.

Use this path for the interactive HTML5 animation from our scenario. Auto-Publishing does not support HTML content so you would have to manually upload or use the Multichannel Loader to upload this media.
