What consent confirmation methods are available to my users?

The consent confirmation method for a channel depends on the Consent Type record. Your users can confirm consent with a signature, a paper consent ID, double opt-in, or a consent confirmation email.

The consent confirmation method is how an HCP formally confirms the changes they've made on the Consent Capture screen. Amy's organization needs different confirmation methods depending on the situation, for example, in-person visits, remote interactions, and high-compliance markets all call for different approaches. Vault CRM supports several options, and each is configured on the Consent Type or Consent Header.

Signature (default for mobile)

By default, when a rep captures consent on an iPad or iPhone, the HCP is asked to sign after making their selections. Amy's field reps often hand their devices directly to the HCP for this step and they can lock the screen to prevent the HCP from accidentally navigating out of the Consent Capture screen while signing. After the HCP finishes signing, a prompt displays asking them to return the device.

Paper Consent ID (default for browser)

Online, paper consent IDs serve the same purpose as signatures. Reps enter a reference number from a paper consent form to confirm consent changes. Paper consent IDs are also supported on mobile platforms.

Requiring Signatures on Opt-Out

By default, signatures are only required when an HCP opts in. Amy's legal team wants signatures required for opt-outs as well, to ensure every consent change is fully documented. She enables the Signature Required on Opt Out checkbox on the Consent Header.

Double Opt-In

Certain European countries require a second confirmation step for email channels, where the HCPs must also verify their email address by selecting a link in a confirmation email before their opt-in consent is finalized. Amy enables the Double Opt In checkbox on the Approved Email Consent Type. After an HCP opts in, their consent line displays the Confirmation Pending status until they click the confirmation link. If an HCP doesn't verify in time, Amy's team can resend the confirmation email from the Consent Capture screen.

Confirmation Emails for All Channels

For situations where reps cannot meet HCPs face-to-face, Amy's organization wants to be able to send a confirmation email to confirm opt-in consent for any channel, not just Approved Email. She enables the Allow Confirmation by Email checkbox on the Consent Header to provide the Email option on the Consent Summary screen after a rep captures opt-in consent. Selecting Email sends a confirmation email containing all of the opt-in channels and lines captured in the transaction, and a link for the HCP to select to finalize their consent.
