Can an HCP reschedule a meeting request?
In the event of a conflict, HCPs can easily reschedule meeting requests from the confirmation emails received after the following actions:
- The HCP submits a meeting request
- You accept the HCP’s meeting request
The Reschedule button displays at the bottom of the email. This link can only be used once and it expires when the HCP receives a newer confirmation email.
Selecting it launches the appointment booking site and the HCP can schedule a meeting with a new date and time. After submitting the rescheduled request, the HCP receives a confirmation email with both the original and rescheduled dates and times.
For example, an HCP requests an in-person meeting with you next week at 1:00 PM. The next day, the HCP is informed of a family emergency and can no longer meet next week, so he finds the confirmation email he received after submitting the meeting request and reschedules to a later date.
Since you hadn’t accepted or declined the original meeting request, My Schedule in Vault CRM is automatically updated to hide it and show the rescheduled meeting request. You can now accept or decline the rescheduled meeting request as desired.
However, let’s say you accept the original meeting request. The HCP receives another confirmation email with the finalized meeting details, but then realizes he can no longer meet on that day. He finds the original confirmation email and selects the Reschedule button, but this link is now expired. He must reschedule the meeting from the confirmation email he received after you accepted the meeting request.
