How do I send event invitations?

So we’ve created an event and added attendees. What’s next?

When an event organizer creates an event, a registration form is associated with the event either automatically based on matching event attributes or by manually populating the registration form field. Once the form is associated with the event, unique registration links are automatically generated. When the event organizer publishes the event, the links are activated.

If the Approval Required check box is selected on the registration form, certain registrants will need manual organizer approval later down the line. More on that later!

Once the event is approved and published, live invitations are sent out using approved emails and print materials. Vault CRM uses specific tags, called tokens, to embed links into emails. There’s a token for a short open URL and another one for a long targeted URL.

Using the long targeted URL is highly recommended. Why? Because it dynamically adapts. If you send a targeted link to a doctor and they forward that email to a colleague, the system recognizes it's a new person and automatically converts that targeted link into an open registration link. It's incredibly smart.

For physical print invitations, content creators can use a token to generate a custom QR code. By default, it's 200x200 pixel square, but by simply adding a quick parameter to that token, they can scale the image up to a massive 1,000x 1,000 pixels. This ensures it prints beautifully and scans well on large banners or posters.
