What are the Primary Building Blocks of Events Management?

To power Events Management features, you manage several key components:

  • Event Configurations – The foundation of Events Management. These records control what event types can be planned and, for customers using multi-country Vault CRM instances, which countries those events can be hosted in. Event Configurations are also important for creating the following types of records:
  • Event Rules – Event Rules are used for a wide variety of purposes, but are most commonly used when configuring specific features for Events Management. Since Event Rules are tied to a specific Event Configuration, this means you have a great deal of flexibility when determining which features are enabled for certain event types and countries.
  • Event Layouts – Events Management uses a unique layout system called the Page Layout Engine (PLE) that enables dynamic layouts for an event based on the event’s current status, as well as the role of the user viewing the event
  • Event Actions – Similar to Event Layouts, Event Actions are user-defined buttons that can be used to initiate lifecycle changes in the event
  • Event Materials – This is approved content that can be automatically associated with events based on certain rules and criteria, like an event’s topic. Event materials can be files intended for use within the event, as well as templates for printed sign-in sheets for the event.
  • Budgets and Expenses – Event Budgets define the available funds for multiple related events for a given period of time. You can create budgets based on your organization’s territory hierarchy, event topic, or product. This enables event organizers to add the appropriate budget against which their event’s real and estimated expenses are tracked.
  • Approval Workflows – Each event must have an approval process as event organizers plan their events. Using Vault’s Object Workflow capabilities, you can implement highly customized approval workflows that ensure each event is reviewed and approved by the appropriate users before the event proceeds.
