How do I keep track of BRCs?
BRCs are similar to physical samples in that they are regulated and tracked, and are subject to auditing. Even though reps don't hand HCPs the samples themselves, they can still use Vault CRM to track the request, shipment, and receipt of mail order samples.
If your company uses a virtual inventory to disburse samples to HCPs, during calls where you provide samples, a distributor would actually mail samples directly to the HCP. The rep then adds the BRC to the call report and gets a signature from the HCP confirming the request.
When the rep submits the call report, the sample request is sent to the distributor. Once the order is fulfilled, an admin creates an AOC, or Acknowledgement of Content, in Vault CRM and the rep is notified to revisit the HCP for another signature, this time confirming they received the shipped samples.
Other reasons companies might use BRCs instead of physical samples include:
- Can provide samples not typically carried by reps
- No need for reps to keep a storage locker for samples
- Reps cannot physically sample Controlled substances
