Can I return samples or transfer them to another rep?
You might need to return samples from your inventory. This can happen because a lot was recalled by the manufacturer, a product was discontinued, or the samples expired, for example. To initiate a return, open the My Samples page in Vault CRM and select New Return.
Complete the form indicating the product, lot, and quantity you are returning. You can add line items for additional products, if needed. Submit the form then follow your company's process for shipping the samples back. Your inventory is automatically adjusted to account for the return. This applies whether it's a physical sample or BRC.
You can also transfer samples to a co-worker. To initiate a transfer, open the My Samples page in Vault CRM and select New Transfer. Complete the form indicating the product, lot and quantity you are transferring. You can add line items for additional products, if needed. Submit the form. A sample lot is created for your co-worker with the number of samples transferred as the quantity. Meanwhile, your Calculated Quantity is reduced by the same number of samples.
Your co-worker will need to confirm the Sample Receipt to activate the new sample lot. When they do, they will also enter the quantity received, since it can differ from what was sent, and enter comments if needed.
Once the confirmation is complete, a receipt is created.
