How do I set up Voice Dictionary Entries for Agentic Voice?

Before field users begin using Agentic Voice to dictate interactions on their mobile devices, admins should complete some groundwork to ensure an optimal user experience. Let's follow Amy, an admin at Verteo Biopharma, as she manages these preparations within Vault CRM.

To begin, Amy reviews product and Key Message records, ensuring each field user is only assigned the specific products they actively carry in My Setup Products to avoid excess topic assignment. She also inactivates any Key Messages that are not actively used or relevant.

To ensure recognition and transcription for specific pronunciations—for example, product names and regional or company-specific phrases—Amy next creates Voice Dictionary Entries. These entries can be applied across the Vault CRM instance or applied only to specific user languages and countries.

To create a Voice Dictionary Entry:

  1. Navigate to Business Admin > Objects > Voice Dictionary Entries.
  2. Select Create.
  3. Enter the exact written spelling of the specific terminology into the Phrase field, for example Cholecap, Restolar, or Natevba.
  4. Enter the phonetic pronunciation using the plain-text X-SAMPA Transcription Scheme in the Pronunciation field to guide speech recognition.

Because iOS phoneme support varies by region and device, some X-SAMPA symbols may not be supported everywhere. Vault CRM does not validate phoneme compatibility, so unsupported symbols may result in incorrect or unrecognized pronunciations. Veeva recommends testing the Voice Dictionary Entries with end users who reflect the full range of accents, dialects, and languages in use before making Agentic Call Report available to all users. For more information on language and locale support, see Supported Language and Locale Settings.

  5. Specify a Language or Country if the pronunciation is restricted to specific regional user groups, or leave these blank to apply the entry globally across all user locales.
  6. Select Save.

It’s recommended that administrators create and test these entries extensively before deploying the functionality to the entire field force. Since Verteo Biopharma is a global operation, Amy Admin tests these definitions with a representative group of field users who reflect the full range of localized dialects, accents, and languages in use.
